In translation projects information security is not an extra, but a part of workflow. Clients’ documents often contain commercial secrets, design drawings, financial data, and legal terms and conditions. That’s why the issue of storing and deleting data is not a formality for us but a mandatory standard.

Controlled access

Access to files is allowed only to the specialists who are actually working on a project. Each participant (be it a translator, editor or manager) works in their personal account in a closed system of Titan Translate.

We apply:

role access rights differentiation;

encryption when handing over or storing the files;

storage of all versions in the company cloud with backups;

control of uploading and downloading the documents as part of internal audit.

This eliminates sharing the materials with a third party and ensures total traceability of all actions.

Storing the project after delivery

After the translation is finished, the files remain in the archive. As per Titan Translate standard, a project is stored in a secure storage in case the client would need to specify details, order a similar text or make edits.

During this time:
• the files are stored in encrypted form;
• only the responsible managers and quality specialists have access to it;
• the archive is not indexed or connected to public search engines

Deleting the data

When requested by the client, the project is subject to complete deleting.

This process includes:
• cleaning up work directory and temporary files;
• deleting the versions from CAT systems
(Translation Memory and term bases);
• erasing backups from servers and cloud storages
;
• the report on finishing the deleting process is registered in project control system.

If the client asks to delete the project, we do it upon written notification within 24 hours.

Exceptions and legal reports

For some clients the storage is regulated by supplementary agreements. For instance, if the project is connected with government tenders, certification or court documents, the storage time are defined by regulatory standards. In such cases Titan Translate keeps a separate data control register that complies with ISO and GDPR.

We do not use the clients’ materials for AI training, sharing with the third party or marketing without an official approval by the customer.

Professional translation is not only about the text quality, but also information security. We consider storing and deleting the data as part of our responsibility to the customer, as well as the contract confidentiality or translation accuracy.

When delivering the project, we ensure not only the result, but also a secured lifecycle of the data, from uploading to finally deleting it.
